This feature is a handy tool giving administrators the ability to mark a course or learning path as completed for a user or reset their progress to start from the beginning. This ensures that users' learning records are accurate and up-to-date, especially in cases where course completion does not register correctly.

Understanding progress and completion

In the Sana learning system, learner progress is tracked as a percentage, where the "Completed" status indicates that a course has been fully completed. However, there are instances where a course may show 100% progress without being marked as "Completed." This can occur due to the following reasons:

Awaiting exercise review

If an exercise or assignment is pending review, the course may show 100% progress but will not be marked as completed until the review is finalized.

Failed exercise review

If an exercise review has been failed, the user needs to resubmit the exercise. Until the resubmission is reviewed and passed, the course will not be marked as completed.

Assessment retake

If an assessment within the course needs to be retaken and passed, the course will show 100% progress but will not be marked as completed until the learner successfully passes the assessment


How progress is measured in Sana:

Understanding how progress and completion are measured is crucial for tracking learning and development effectively. Sana uses a comprehensive set of metrics to provide insights into learners' progress at various levels; courses, paths, and programs. Below is a detailed table of Sana's progress and completion metrics, along with descriptions of how each metric is determined.

Progress ranges from 0 - 100%.

Courses:

  • Average progress percentage of a specific course for all users in that course

  • Percentage of cards completed out of the total cards in a course

  • Average progress percentage of the course, for users within a specific group

Programs:

  • Average progress percentage of the program for all users in the program

  • Average progress percentage for all content assigned to the user in the program

  • Average progress percentage of the program, for users within a specific group

Completion rate

Course or Program completion rate

Completion rate has possible values of 0% (not completed) or 100% (completed)

A Course or Program completion rate of 0% indicates that the user has not completed the course fully although they may have made some progress, whereas a rate of 100% indicates that the user has completed it in full.

💡 When downloading the course completion rates in Insights, the metric will presented as a value between 0-1, which represents 0-100%. For example, a completion rate of 80%, will be displayed as 0.8. To view these as percentages in your downloaded csv or xlsx file, you can change the number format to "percentage" in Excel or similar tools.


How to manually mark a course as completed or reset progress:

  1. Go to Manage

  2. From Manage, you can access the feature in two ways:

    a. Go to Users. Click on the user for whom you want to mark a course as completed or reset their progress. This will take you to the User page where you can see the courses assigned to the user. Find the course you want to mark as completed and click on the "Set to complete" button or "Reset progress".

    b. Course pages. Click on "Content" in the sidebar to see a list of all courses and paths. Click on the specific course you want to mark as completed for a user. Here, you can see a list of users assigned to this course/path. Find the user for whom you want to mark the course as completed and click on "Set to complete" or "Reset progress".

  3. A pop-up window will appear asking for confirmation. Click "Complete learner progress" or "Reset progress" to confirm your choice.

  4. The course will now be marked as completed for the user or course progress reset.

    1. If the course has been manually completed, any associated certificates will be issued automatically.

    2. If the progress is reset, the learner will get to start the course from the beginning.

Manual course completion for SCORM courses

This feature also works for SCORM-imported courses. Normally, the system automatically marks courses and paths as "Completed" once the learners have finished them. Occasionally, SCORMs exported from another LMS do not have optimal SCORM formatting which can result in unintended behavior when imported to another LMS. In these circumstances manual marking comes in handy, but we would also recommend reaching out to your other LMS provider or Sana directly for further assistance with this SCORM.

There is also a course helper in SCORM, plus a sidebar to make it more clear for users what next steps they can take, and how to leave the course.

The course helper works just like the course helper in self paced courses, and provides the user with info about the next step depending on the context of the course (if it's in a program, path etc).

Good to know:

  • The course helper will only show up if the SCORM course sends a completion event. If this has not been set up in the course, it won't know that the course has been completed

  • The exit/back button is in the sidebar of the SCORM course

So, there you have it—Manual Course Completion in a nutshell. It's like a safety net for your learning journey, ensuring that your hard work is always acknowledged.


Visualizing content due dates: Learner's view

Learners can easily track their content due dates and overdue tasks on the Home page and in My Library, ensuring they never miss a deadline.
