Creating recurring Sana Live sessions

Sana Live lets you host interactive, engaging sessions directly within Sana, making it easy to connect and collaborate in real time. Many organizations need to run the same session multiple times, whether for recurring workshops, stand-ups, or team meetings. Scheduling these multiple sessions in advance helps you stay organized and ensures everyone has the chance to participate.

How to schedule recurring Live sessions

Whilst it’s not yet possible to create recurring Sana Live sessions directly in Sana, you can still easily manage a series of recurring sessions using your connected calendar.

Here’s how:

  1. Schedule your Sana Live session through Sana Learn (as usual).

    1. Make sure your Google Calendar or Outlook is connected. Learn more about how to set up calendar integrations here.

    2. This will ensure that the invite to the Sana Live is created from your calendar account and is editable.

  2. In your calendar (Google Calendar or Outlook), open the invite and set the event as recurring for the dates that you want.

    1. You can invite the guests through the calendar event.

    2. At times, the calendar event may generate a meeting link. Make sure to remove this link from the calendar event to avoid confusion with the meeting link generated by Sana.

  3. When it's time for each recurring session, use the same calendar link (Sana Live link)

    1. When starting a new scheduled session after the first session has been completed, in the session summary page, click "New from scratch" rather than "Reopen session". This ensures that previous replies to interactive elements, for example, reflection cards, are reset.

    2. Responses or reflections made to any interactive cards in previous sessions will be saved in the previous Sana Live sessions.

💡 The content in previously held Sana Lives is historically accurate, so you can browse old responses to polls, reflections, sticky notes, etc., in the course editor.

Things to keep in mind with recurring sessions

While this workaround makes it possible to run recurring Sana Live sessions, there are a couple of important details to ensure everything runs smoothly:

  • Your calendar must be integrated with Sana before scheduling your session.

    • This ensures the invite is managed from your own calendar account, allowing you to set up recurring events.

  • Since recurring sessions are created by reusing the original calendar invite, it’s not possible to assign different facilitators to individual sessions in advance.

    • Facilitators must be added as facilitators when you first schedule the session.

By keeping these points in mind, you’ll avoid common pitfalls and make the most of your recurring Sana Live sessions.

How do I start a new session from the same calendar link?

Navigate to the session summary page. There, you’ll see the Present button. Click on the dropdown menu to choose one of the following options:

  1. New from scratch: Create a new, clean session using the same content from this presentation.

  2. Reopen session: Re-open the latest session and continue where you left off.

How do I find the session summary page for a Sana Live?

Navigate to Manage > Content > choose the Sana Live that you want to present. Then, select a previously held Sana Live session > View, and then you will be in the session summary page. Simply select Present to either start a new session from scratch or reopen a previously held session.
